activities
the mission and objectives of spin chennai are being carried out by holding meetings of software professionals, arranging talks on relevant subject by eminent indian and foreign experts and holding other activities such as conferences, ceo talks, workshops for engineering college students product technical presentations, exhibitions etc.
spin chennai shall ensure that intellectual property rights of its member organizations are not violated through its activities
spin chennai shall not permit or indulge in activities that promote / support the business development initiatives of any organization.
spin chennai shall not share / sell member information to any third party, without the explicit written permission from the steering committee.â
structure
spin chennai activities are coordinated by a group of professionals who constitute the steering committee. the steering committee is headed by a leader and a co-leader. the co-leader is elected every year and will automatically become the leader upon exit of the previous leader. the leader also will hold office for one year. a new member can be admitted to the steering committee by the existing members of the steering committee, in april of every year, by a simple resolution passed by a majority of steering committee present in the meeting, provided that there are at least seven members present.
there will be seven to fifteen steering committee members, as decided by the steering committee then in effect.
the tenure of the leader and co-leader will be from april to march of the subsequent year.
the other roles such as membership coordinator and treasurer will be nominated by the committee.
working groups may be constituted by the leader on the advice of the steering committee. working group should be headed by a committee member but may consist of non-members.
responsibilities of steering committee
manage the affairs of the spin chennai in line with the declared objectives and mission plan and execute all activities of spin maintain coordination with other spin organizations identify meeting coordinators for the spin meetings select and coordinate topics and speakers for spin meetings approve the establishment, charter, and dissolution of working groups appoint working group chairperson elect steering committee members to the roles described in this charter review the operation of the spin periodically to determine improvements in its operation solicit feedback from participants of any spin event as needed.

responsibilities of leader

convene spin committee meeting & ensure maximum participation

preside at regular meetings of the spin chennai and at the meetings of the steering committee

reassign duties of other steering committee members in the event of their absence, incapacity, or until they are replaced by the steering committee

maintain a list of steering committee role assignments on the advance of and with the help of steering committee members.
organise spin talks, conference, quiz, identify speakers and announce events.
responsibilities of co-leader
assist the leader in all activities & take over the responsibilities of the leader in the event of his/her absence until the leader either returns or is replaced by the steering committee.
responsibilities of membership co-ordinator
maintain the list of current spin chennai participants members and resolve members' issues, co-ordinate membership drive.
responsibilities of working group chairperson

develop the working group's plan and secure steering committee approval

select working group members from steering committee, industry, university, or any other relevant association

report results of working group efforts to the steering committee.

charter revisions
charter revisions are approved at steering committee meetings by a two-thirds (2/3) majority vote of the participants in the vote. at least seven (7) of the spin chennai steering committee must participate in the vote for the vote to be valid.
dissolution of organization
the spin chennai organization can be dissolved only with the unanimous agreement of all steering committee members, together with a majority vote at a meeting publicized in advance to all current participants of the spin chennai for the purpose of taking this vote.
steering committee meetings
the steering committee meeting can be held if at least 4 members confirm participation. the meeting will be chaired by the leader or the co-leader or any other member by mutual consent of those present.
the minutes of meeting will be circulated to all the members for their information. the steering committee shall meet at least once every two months. currently it is scheduled on second wednesday of every month, 6.30pm.
funds
the steering committee will have the right to decide ways and means of raising funds for it's activities including through membership fees, donations, sponsorship, workshop fees, web site advertisements or any other means.
the steering committee shall nominate one of it's members as treasurer to manage the funds and to keep track of the accounts. when necessary, a bank account may be opened in a bank which has branch conveniently located for operations.
the bank account shall be operated jointly by any two of the three authorized signatures, leader, co- leader or treasurer of the steering committee.
membership fees
currently it is rs.200/- per annum. steering committee may review and revive it from time to time.
